The National Information Technology Development Agency (NITDA) has intensified its oversight of Nigeria’s digital transformation efforts, following a quality assurance visit to the Ministry of Interior to assess the performance of its Electronic Content Management System (ECMS) and earlier Electronic Document Management System (EDMS).
The visit focused on evaluating the real-world effectiveness of the ministry’s digitisation efforts at key document entry points, particularly within departments that serve as primary gateways for incoming official correspondence.
During the inspection, the NITDA team observed scanning operations across multiple departments, where incoming physical documents, including those received from external sources, are systematically processed. Registry officers demonstrated how files are scanned, quality-checked, validated, and uploaded into the ECMS platform under a structured workflow supported by scheduled departmental rosters.
Users within the ministry commended the system for significantly improving operational efficiency. Staff noted that the platform has reduced cases of missing or misplaced files, enhanced remote access to records, and introduced clear audit trails with timestamps and IP logging for accountability.
“It’s seamless. Everyone can see the process, and approvals happen instantly,” one officer remarked, highlighting the improved transparency and speed of administrative processes.
The system also retains flexibility by allowing the printing of physical copies when necessary, while legacy records continue to be digitised progressively through periodic scanning exercises to update active files.
Although officials acknowledged minor challenges, particularly network-related disruptions, they reaffirmed their commitment to strengthening digital infrastructure to ensure smoother operations and full workflow automation.
According to stakeholders, the visit provided an opportunity for feedback on NITDA-cleared digital projects, reinforcing progress in Nigeria’s public sector digitisation drive while identifying areas requiring refinement.
Both institutions emphasized a shared objective: building a secure, efficient, and fully paperless civil service that enhances transparency, accountability, and service delivery to Nigeria.
